Duties

Administers, tracks and reports on the Region’s Flight Operations and Maintenance budgets for multiple Cost Centres. Compares and reconciles expenditures, overtime, acquisition card usage [general, aviation (aircraft and fuel) and other costs], commitments and forecasts against financial forecasts and plans. Recommends and implements adjustments, including the allocation of funds across budget lines. Manages PAYE and cost recovery activities for the region.

Plans and provides Human Resource management support to the Region, work injury, and LEX administrator.

Plans, organizes and conducts/co-ordinates procurement and contracting activities for the region. Researches the availability, reliability and cost of equipment, supplies, services, etc.; determines cost-benefits of various options; and recommends option that best meet needs. Prepares purchase orders, call-ups against standing offers, inter-departmental cost recoveries, etc. Administers contracts and service agreements; verifies and processes invoices and travel expense claims for payment; and investigates and resolves related problems.

Intent of the process

The intent of this process is to establish a pool of partially or fully qualified candidates for future needs. The pool may be used to staff similar positions on a permanent (indeterminate) or temporary basis (specified period appointment or casual).

Experience in providing clerical support services.
Experience in maintaining electronic and manual documentation tracking and filing systems.
Experience using Microsoft Office Suite such as: Outlook, Word, Excel and Powerpoint.
Experience in providing administrative support services in Finance or Accounting.
Experience in managing logistics for meetings/teleconferences, videoconferences and other events such through Microsoft Teams.
Experience in preparing agendas, taking minutes and drafting decision records.
Experience providing administrative support to managers.
