Duties

POSITIONS IN THE MANAGEMENT SERVICES DIVISION:

INFORMATION MANAGEMENT CLERK - MAILROOM TEAM (CR-03):
Performs general administrative mailroom support functions such as processing and management of incoming and outgoing correspondence and AAFC program documents, arranging couriers, operating and maintaining print centre equipment, receiving and responding to inquiries and requests for information by internal and external clients, in-person, by phone, e-mail and/or fax.

INFORMATION MANAGEMENT CLERK - IM TEAM (CR-03):
Performs various administrative information management functions such as creation, maintenance, retention and disposal of files; completing and compiling ATIP/Privacy requests and responding to inquiries and requests for information by internal and external clients.

REVENUE AND DOCUMENT CONTROL PROCESSOR - DATA INTEGRITY TEAM (CR-03):
Provides general administrative support to the division and its clients through outgoing mail, email, web and portal requests, compiles work flow statistics. Receives, reviews and processes incoming cheques for various programs.

SUPERVISOR, MAILROOM AND RECEPTION (CR-05):
Leads and manages a team, manages the program correspondence, printing and equipment of the production centre; provides interpretation, advice and guidance to internal and external stakeholders on policies and regulations in support of program delivery, manages the financial expenditures of the unit, including budgeting, expenditure forecasting and tracking, administers building recycling and shredding programs, supports the physical office security functions.

POSITIONS IN FINANCE:

FINANCE TECHNICIAN OFFICER (AS-01):
Performs various administrative finance functions such as inputting transactions into financial systems, processing activity files, reviewing processing errors, preparing letters to clients and performing cheque traces.

SALARY MANAGEMENT ADMINISTRATOR (AS-01):
Performs various administrative finance functions such as maintaining and entering employee data into the Salary Forecasting tool, provide financial reports to managers and budget officers, process salary adjustments, set up receivables and payables, review fund commitments and review salary coding splits.

FINANCIAL ACCOUNTS ASSISTANT (CR-05):
Performs various administrative finance functions such as verifying and processing accounts for payments, reconciling accounts, prepare financial reports, input revenue and expenditure data into the departmental financial control system and processing payments for petty cash.

POSITIONS IN THE CLIENT SERVICES DIVISION:

INFORMATION OFFICER - CONTACT CENTRE TEAM (PM-01):
Contact Centre Information Officers field client queries via telephone and provide in-depth and comprehensive advice and guidance on program policy and legislation, procedures, and requirements related to the department’s programs and services.

PROGRAMS OFFICER - PROCESSING TEAM (PM-01):
Validates information submitted by clients and their representatives on the farm income program applications and processes program payments, government contributions and client withdrawals by using a variety of database systems.

Intent of the process

Farm Income Programs Directorate (FIPD) is always looking for dynamic and dedicated individuals to be part of our growing team that administers farm programs to Canadian Agricultural Producers! This selection process will be used to fill immediate and future full-time permanent and temporary vacancies located in Winnipeg, Manitoba. The duties of the positions we are looking to staff are detailed in the "Duties" section. There is a possibility that other positions will be staffed using this process.

✔ Experience working in a client service environment.
✔ Experience analyzing information (e.g. policies and procedures) and providing interpretation to clients in person, by phone or in writing.
✔ Experience in applying administrative policies and/or procedures.
✔ Experience working in a computerized environment. This can include the use of word processing, email, spreadsheets, databases,web applications and/or publishing software.
✔ Experience operating mailroom equipment (i.e. postage machine, mail inserter, scanners, etc.) and/or coordinating mail and courier services.
✔ Experience supervising staff including delegation of work, managing work performance and day-to-day activities.
✔ Experience managing the requirements and maintenance of mail processing equipment.
✔ Experience managing financial expenditures and/or budget forecasting.
✔ Experience in file management and/or records keeping (printed and electronic).
✔ Experience in performing administrative activities related to contracting or procurement.
✔ Experience using advanced Microsoft Excel feature such as formatting, formulas, data analysis (filtering, sorting, and analyzing data) and pivot tables.
✔ Experience working with accounting software (e.g. SAP).
✔ Experience performing financial reconciliations.
✔ Experience in processing invoices and payments.
✔ Experience working in a call centre.
✔ Experience in farming operations and/or industry.

WHAT TO EXPECT WHEN YOU APPLY
